Applying for a Vendor Table - Frequently Asked Questions

When does the vendor application process for the New England Leather Alliance The Fetish Fair Fleamarket #50 open?

The online NELA vendor application is now open:

and will close on Friday, November 10th.


Why is this year's process different?

After The Fetish Fair Fleamarket #48 in February 2017, the State of Rhode Island has revoked their itinerant vendor law. In the past, New England Leather Alliance (NELA) has had a single license issued to the event that covered all vendors. When the law was revoked, each town has enacted their own rules for daily vending. Below you can find the details for the new daily vendor license process for the City of Warwick.


How do I apply to be a vendor for The Fetish Fair Fleamarket #50?

For returning vendors:

Step 1: Enter the new vendor application. Log in to Zambia using your previously used email address and password. If you are unable to recall your password, type any word into the password field and press the “login” button, a “Password Change” button will appear, click this and a new password will be sent to your previously used email address on file.

Step 2: Complete the NELA online vending application on the first page. Once the first page has been submitted, please read the NELA Fetish Fair Fleamarket Vendor Contract. If you agree to the terms of the contract, please sign and move to page three. On page three, you will find a link to the City of Warwick daily vendor application. Complete the City of Warwick daily vendor application and attach as a PDF.

Step 3: Once all three pages (outlined in Step 1) have been completed and submitted, NELA will review all submitted applications.

Step 4: NELA approved vendors will be emailed and invoiced for the City of Warwick daily vending fee. The fee is $50.00 per day. This is a two day event, February 17th and 18th. $50.00 x 2 days = $100.00. Once the invoice has been paid, NELA will submit your application and fee to the City of Warwick.

Step 5: The City of Warwick will perform a background check for all applicants. Applicants may also be requested to appear before the Board of Public Safety in the City of Warwick.

Step 6: Vendors approved by the City of Warwick, will be invoiced for your booth fees, amenities, and advertising.


For new vendors:

Please use the email address used in your application as your user name and type any word into the password field. Step 3: Once you have logged into Zambia, you will be on page 2 of the application. Please read the NELA Fetish Fair Fleamarket Vendor Contract. If you agree to the terms of the contract, please sign and move to page three. On page three, you will find a link to the City of Warwick daily vendor application. Complete the City of Warwick daily vendor application and attach as a PDF.

I am a returning vendor, but my email address is not found in Zambia to send me a new password. What do I need to do?

There are two possible causes of this.

#1: We may have lost some previous vendors during data migration to the newly built vendor application. Please use the new vendor steps above and at the bottom of the first page indicate how many Fetish Fair Fleamarkets you have vended at.

#2: If you are also a presenter or volunteer with a log in to Zambia, you may have attempted to use your presenter or volunteer log in. These are not often set-up for vending in addition to your other roles. For vending, please use your email address as your user name for vending and have a password issued to that email address. If this still does not work, please contact vendors (at) nelaonline.org.

 


For the City of Warwick daily vendor application, what are the “Event Location”, “Dates”, and “Times” I need to list?

For vendors interested in ballroom vending only please list:

Event Location: Crowne Plaza Hotel

Dates: 2/17/18 and 2/18/18

Times: 10am to 6pm and 10am to 4pm


For vendors interested in hotel hallway vending please list:

Event Location: Crowne Plaza Hotel

Dates: 2/17/18 and 2/18/18

Times: 12:00am to 11:49pm and 12am to 4pm


I am unable to attach a PDF of the City of Warwick daily vendor application. What can I do to complete my application?

If you do not have the capability to attach a PDF to the NELA vendor application, please email vendors (at) NELAOnline.org that you will be mailing the application and mail the completed form to:

NOTE: Your application will be considered incomplete until NELA receives the completed City of Warwick daily vendor application. Please mail as soon as you apply online.


Can I become a vendor without submitting to the City of Warwick daily vendor application?

No. All NELA vending applicants must submit the City of Warwick daily vendor application at the time of initial application. If the daily vendor application is not completed and attached to your application, your application will be considered incomplete and will be denied.


Am I able to apply to the City of Warwick by myself?

No. All vendors must submit the NELA vending application first with a copy of the completed  City of Warwick daily vendor application as outlined above. If a vendor applies to the City of Warwick by themselves, even if the vendor is approved by the City of Warwick, that vendor will be denied the ability to vend at The Fetish Fair Fleamarket #50 by NELA.


What of this background check?

All daily vendor applications submitted to the City of Warwick will have a background check performed by the Board of Public Safety in the City of Warwick. If you do not feel that you can pass a background check, please consider this prior to applying to be a vendor.


What if the City of Warwick asks me to attend a Board of Public Safety meeting?

Applicants may be asked to attend a City of Warwick Board of Public Safety meeting. If the City of Warwick asks you to attend a meeting, please contact the NELA Vending Coordination Team at vendors (at) nelaonline.org. NELA can assist, if need be, within the meetings. If you are unable to attend the meeting due to being out-of-state or out-of-the-country, please note this to the NELA Vending Coordination Team, we can attend on your behalf in an attempt to assist with the approval process.


What will happen if my daily vendor application is denied by the City of Warwick?

If your daily vendor application is denied by the City of Warwick, your daily vending fee of $100.00 will be returned to you. Unfortunately, you will not be permitted to vend at The Fetish Fair Fleamarket #50.

 

How many wristbands will my booth receive?

For crafter and single tables: you will receive two wristbands as part of your vendor fee. An additional four wristbands may be purchased at a discounted rate of $30.00 each, please request within your application.

For double, triple, and hotel room vendors: you will receive four wristbands as part of your vendor fee. An additional four wristbands may be purchased at a discounted rate of $30.00 each, please request within your application.

In the past, my organization has been a community table. Does the City of Warwick daily vending process affect me?

Unfortunately, this new process in the City of Warwick also affects community tables.


For 501(c) 3, 4, or 7 registered organizations: your organization will no longer be allowed to accept donations in exchange for goods or services. This includes, but is not limited to; Memberships or Associateships, Clothing, etc.  501(c) 3, 4, or 7 registered organizations may still accept donations providing the organization submits their 501(c) 3, 4, or 7 certificate to NELA in PDF form with their community table application. Additionally, 501(c) 3, 4, or 7 registered organizations may offer unlimited free literature and information to The Fetish Fair Fleamarket #50 attendees.


For non-501(c) 3, 4, or 7 registered organizations (for-profit organizations), your community table will be able to provide free literature and information only to The Fetish Fair Fleamarket #50 attendees. No money, goods, or services may be exchanged at any time. This includes, but is not limited to; Memberships or Associateships, Clothing, Cash Donations, etc.


How do I apply to be a Community Table for The Fetish Fair Fleamarket #50?

For returning community tables:

For new community tables:

Step 1: Complete the NELA online community table application on the first page. This is the same application that vendors will be filling out. For vendor space, please choose “Community Table”.

Please use the email address used in your application as your user name and type any word into the password field. Step 3: Once you have logged into Zambia, you will be on page 2 of the application. Please read the NELA Fetish Fair Fleamarket Vendor Contract. If you agree to the terms of the contract, please sign and move to page three. On the third page, if you are a 501(c) 3, 4, or 7 organization, please attach a PDF copy of your 501(c) 3, 4, or 7 certificate.

In the past, my organization has had a Community Table and we have exchanged donations for goods or services. How can I still do this?

If an organization (either 501(c) 3, 4, or 7 or non-501(c) 3, 4, or 7) wishes to exchange monies of any kind for goods or services, please apply to be a vendor. The vending process is outlined here.


I am unable to attach a PDF of our organization's 501(c) 3, 4, or 7 certificate. What can I do to complete my application?

If you do not have the capability to attach a PDF to the NELA vendor/community table application, please email vendors (at) nelaonline.org that you will be mailing the 501(c) 3, 4, or 7 certificate and mail the 501(c) 3, 4, or 7 certificate to:

What does my organization receive as part of a community table?

Each community table receives one table and two chairs. If your organization needs more chairs, please request within your application. Each community table also receives two wristbands. An additional four wristbands may be purchased at a discounted rate of $30.00 each, please request within your application.
